Submission Guidelines

How to prepare and submit your paper, and exactly what happens to it after you do.

Submissions are made only through the conference management system. The portal link will appear here when the Call for Papers opens on 15 October 2026.

Prepare your paper with the official IEEE conference template for A4 paper. For review, replace the names and affiliations in the template’s author block with “Anonymous Author(s)”.

LaTeX users: use the IEEE conference template from the IEEE template page or Overleaf, set to A4.

Before you submit: checklist

  • Original and exclusive. Not published and not under review elsewhere.
  • In scope. A clear connection to physical action, embodiment or real-world deployment, submitted to the closest of the technical tracks.
  • IEEE conference format, A4, prepared with the official template.
  • No more than 6 pages, including references.
  • Anonymised. No author names, affiliations, acknowledgements or self-identifying references in the PDF.
  • Deployment Risk and Limitations statement included (max. 200 words).
  • Similarity under 15% overall and under 5% from any single source.
  • Generative-AI use declared.
  • Optional artifacts (code, data, models) prepared if you want the Reproducibility badge.

From submission to publication

  7. ConsolidationTrack Chair consolidates; a 4th review and meta-review if scores diverge by more than 2 points.
  8. DecisionTPC Chair decision meeting: Accept / Accept with revision / Poster / Reject.
  9. NotificationAuthors receive the full anonymised reviews.
  10. Camera-readyRevision compliance check, copyright form and a second similarity check.
  11. RegistrationRegistration verified before the paper enters the programme.

Review rubric

Each criterion is scored 1–5 and weighted:

Reproducibility and completeness of reporting 10%

Reviewers give an overall recommendation (Strong Accept to Reject) and a written review of at least 120 words: a summary of the contribution, three specific strengths, three specific weaknesses and the changes required.

Our quality guarantees

  1. Every paper receives at least three independent reviews.
  2. No reviewer reviews a paper from their own institution, or from a co-author of the last three years.
  3. Committee members’ own papers are handled entirely outside their access.
  4. Target acceptance rate of 35% or lower; the actual rate is published after the event.
  5. Similarity screening at submission and again at camera-ready.
  6. Undeclared AI-generated content, fabricated citations or fabricated data lead to rejection and institutional notification.
  7. Papers that are not presented are removed from the publication package, without exception.
  8. Appeals are accepted within 7 days of notification and decided by the TPC Chair with one independent Advisory Committee member. The decision is final.

After acceptance: camera-ready and copyright

  1. Revise the paper to address the reviewers’ comments. The revision is checked for compliance.
  2. Keep to the IEEE A4 format and the 6 pages limit, and add the author names and affiliations back into the author block.
  3. Submit the camera-ready paper with the signed copyright form by 31 January 2027. This deadline is firm.
  4. Camera-ready papers are screened for similarity a second time.
  5. Only papers that are registered and presented are forwarded for publication.

The copyright form and final author instructions will be published on the Downloads page by 30 November 2026.

Registration and presentation rules

  • At least one author of each accepted paper must register at the author rate and present in person (or, in approved cases, in the designated virtual session).
  • Papers not presented will not be forwarded for publication.
  • Maximum two papers per registered presenting author.
  • Every accepted student first-author is invited to the mentor presentation clinic on 19 February 2027.

Frequently asked questions

Can I submit by email?

No. All submissions go through the conference management system linked on this page. Email submissions are not accepted.

Which template should I use?

Use the IEEE conference template for A4 paper — download the Word version here. LaTeX users can use the IEEE conference template from the IEEE template page or Overleaf, set to A4.

What is the page limit?

Up to 6 pages, including references, in the IEEE two-column A4 format.

What goes in the Deployment Risk and Limitations statement?

Up to 200 words on the practical constraints, failure modes and safety considerations of your work: where it would break, what it assumes about the environment, and what would be needed before real deployment. Submissions without it are desk-rejected.

Can I use ChatGPT or other AI tools?

You may use AI tools for language editing, and you must declare that use. AI tools cannot be listed as authors, and AI-generated results, data or citations are grounds for rejection and reporting.

Is my paper in scope?

It must connect to physical action, embodiment or real-world deployment. The nine tracks show the main areas, but topics are not limited to them. An LLM agent controlling a robot fleet is in scope; a new text-classification model on its own is not. If in doubt, email the conference with your abstract.

How many papers can I present?

A registered presenting author may present at most two papers. Each accepted paper needs at least one registered author.

Can I present virtually?

In approved cases, international authors unable to travel may present in the designated virtual session. In-person presentation is the default.

Can I change the author list after submission?

Only with written consent from all authors and approval of the Publication Chair.

Can I appeal a decision?

Yes, within 7 days of notification. Appeals are decided by the TPC Chair with one independent Advisory Committee member, and the decision is final.
